JOB SUMMARY
The Event Operations Associate will assist the Chief Operating Officer and Operations Manager with the planning and execution of all Elite Tournaments events. This position encompasses a wide variety of planning and management responsibilities while maintaining a high level of customer service through the progression and completion of the events. Main responsibilities for this position include maintaining a safe work environment in the warehouse, providing inventory control and distribution management of equipment for events, and projecting supplier needs and placing corresponding orders.
RESPONSIBILITIES:
OPERATIONS
- Provide on-site event and venue management during tournaments and events
- Develop Project Management Plan, Communication Plan, and Risk Management Plan for assigned events
- Project out, prepare, and stage all equipment needed for Elite Tournaments events; safely and efficiently pack vehicles
- Evaluate equipment both pre and post event to ensure the items are in proper working condition, while also keeping an updated inventory throughout the year
- Manage inventory and distribution of all equipment to include Elite-owned and client-owned items
- Assist with the management and maintenance of all company owned vehicles, golf carts, and trainers to include scheduled maintenance and upkeep
- Ensure that warehouse and corresponding equipment storage areas are in working order and are well-maintained
- Conduct facility site visits and maintain database of facility assets and operational details
- Connect with suppliers to establish and maintain effective ordering timelines
- Oversee ordering of portable restrooms and dumpsters in coordination with supplier and client; ensure client’s payments are made to supplier in timely manner
- Project needs for all IT equipment used and required for upcoming events; distribute accordingly based on recommendations from operations lead
- Maintain accurate inventory and maintenance schedule for all IT equipment
- Other duties as assigned
COMMUNICATION
- Connect with appropriate stakeholders regarding venue requirements for designated events
- Coordinate operational needs and requirements with clients for assigned events
- Project and assign full-time staff week-of site visits for facilities to be used for upcoming events; follow-up for any notes/issues and communicate to operations lead
- Coordinate rental pick-up/drop-off of tournament items (i.e. goals, corner flags) from local soccer clubs
- Organize pick-up/drop-off of donations for partnered non-profit organizations per request from the Senior Director of Marketing
ADMINISTRATION
- Forecast and track consumable expenses for all events and record in appropriate ledgers
- Update field loading chart with information from corresponding site visits
- Train full-time staff in warehouse safety, trailer driving/hitching safety, packing vehicles, etc.
QUALIFICATIONS & EDUCATION REQUIREMENTS
- Extensive knowledge of the youth sports landscape and particularly the youth soccer and lacrosse tournament club, sector, and demographic in the United States.
- Superior oral and written communication skills
- Effective organizational skills for management of multiple tasks
- Bachelor’s degree in Sport Management or related discipline
- Experience in operation of sporting events, leagues, facilities, and/or professional teams
PREFERRED SKILLS
- Advanced knowledge of products in the Microsoft Office Suite
- Experience with Adobe Creative Suite software
- Knowledge of GotSoccer, GotSport, and LeagueApps software applications
- Knowledge of basic finance practices for budget management
- Experience with managing and operating a fleet of vehicles, golf carts, and trailers (open and enclosed)
ADDITIONAL REQUIREMENTS
- Ability to lift 50 pounds
- Ability to work weekends, irregular hours, and travel as needed
- Valid driver’s license and safe driving record
- Reliable transportation
